Maasdam, organizing multiple shore excursions?

We are doing a lengthy trip in the late fall. I have shore excursion notes both on my computer and in a HUGE three ring binder. My DH will go nuts if I try to take the binder with us.

I am not that computer oriented to put all this info on my cell or Kindle, but there are so many ports, so many different people that I'm making arrangements with, so much money to be given out for payments, etc.

Any organizing tips?

I use computer Word files for the volumes of background information and have them on our small netbook/laptop plus back-up thumb drive and in a folder in our email account.

I print out [B]all confirmations [/B]and carry those hard-copies in my carry-on as precious cargo! Plus I lay out 2 itineraries: one is a day by day itinerary, printed sideways/landscape, with phone contact numbers, confirmation numbers, prices, the essentials; and one itinerary as a calendar which I can post on a cruise cabin wall with a magnet. I add our emergency contact phone numbers to the calendar and place one in each luggage piece.

My confirmation hard-copies are organized into plastic "report folders." These are see-through sleeves, sealed on 2 sides, open on 2 sides, so easy to slip pages in and out. These report folders are available in Office stores or Wlamart. They have a flap on the edge to put them in a 3-ring binder... on that flap I use a Sharpie and mark which segment of the itinerary that folder is for. Our last trip was 11 weeks with multiple flights, trains, 2 cruises, hotels, 3 escorted tours... several day excursions etc. I had 6 report folders for segments and kept them all together in a large mailing envelope (slit open on one side) with the marked flaps at the open top of the envelope, and kept this in the side pocket of my shoulder tote/carry on which was with me all the time. This system worked well for me. Hope you find a system that works for you.
