Suggestions for big group meetings spots, how to connect with family on board the Gem

We have a family of 10 sailing the Gem in less than 3 weeks. Knowing their cell phones won't be active most of the time, (college students - no Internet budget) and we will NOT have walkie talkies, what advice do you have for keeping in touch with each other? Any tips that helped your group stay together? Special meetings spots?

 

We appreciate any and all advice.

I bought Dry Erase peel and stick sheets and dry erase markers with magnets. (There will be five of us in four rooms.) I stick one to the door of each cabin and a marker or two and we can leave notes for each other. This would also work with dry erase boards, but I like the idea of traveling with the the equivalent of a piece of paper. I plan on personalizing them with stickers and names, but that's not necessary. I also suspect we will pay the $10 each to be able to text each other on board, but as one of us does not have a smart phone the dry erase sheets will be a backup.
