I usually email them two weeks before the date of sailing.
This is great advice exactly what we do and never had a problem.
Its only about a two minute walk to the ferry/ hydrofoil terminal from where the cruise ship docks.
We always travel over to Capri under out own steam and usually the ship tours are also on the very same ferry/ hydrofoil.
When you dock in Capri and exit the port turn right go up the hill for about 50 metres and there’s a kiosk selling bus transportation tickets for a few euros to Anacapri or there’s plenty of Cuban style open top taxis that will transport you up there.
We’ve been lucky enough to sail on Vision on three occasions always had a great cruise.
Having said that our preference is for the bigger ships in particular “ o “ class primarily for the extra entertainment.
Personally I’d try and get a small group together ( maybe via your roll call ) or maybe six to eight persons and book a private tour with Romeinlimo and pay the extra for a guide.

We recently returned from a Caribbean carnival cruise and although we’ve cruised many more times with Royal think you’ve given an extremely fair assessment.
We’ve always thought the cruise lines were more similar than not and at present time we think that the food especially the on deck burgers and MDR on Carnival and in all most other venues is definitely better than what Royal is offering.
Entertainment is similar Carnival is probably that little better on most ships except on “ o “ class where Royal is probably better than what Carnival is offering.
